We are seeking two (2) enthusiastic and energetic candidates for critical support roles within the practice: Chiropractic Assistant (CA) and Practice Representative.
Chiropractic Assistant (CA)
Job Role: The CA will manage all aspects of the front desk including: patient greeting, patient sign-in, patient scheduling, patient check-out and billing. They will also be asked to support marketing projects on an as-needed basis. As the doctor’s “right-hand” person, the CA will be asked to understand the value of chiropractic and relay that understanding to patients on a daily basis. The CA will also be asked to maintain highly confidential health information, and therefore must be trustworthy and discreet. At Kelly Chiropractic, patients are the highest priority and, as the first person a patient meets when visiting the office, the CA is expected to exude high energy, positivity and enthusiasm.
Responsibilities include, but are not limited to:
Front Desk Management/Reception:

Welcome patients by greeting them in person or on the telephone.
-
Manage patient appointment schedule in person or via phone or email.
-
Maintain safe and clean reception area by complying with office procedures, rules, and regulations.
-
Maintain office services and efficiency by organizing office procedures and planning and implementing office systems.
-
Answer general chiropractic questions for new and current patients.
-
Maintain filing and database systems.
-
Create and maintain patient files including privacy protection, retrieval, transfer, and proper disposal of records.
-
Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

General office duties including opening and closing the office, answering phones, data entry, copying, scanning, faxing and light cleaning.
Accounting:
-
Prepare consolidated internal and external financial statements for patients by gathering information from the general ledger system (training provided).

Manage daily general ledger entries by maintaining patient records and reconciling patient accounts.

Process patient payments and enter into billing system.
-
Provide management with patients’ financial information by preparing financial statements.
-
Verify and enter patient insurance information.

Practice Representative (Public Relations)
Job Role: The Practice Representative will organize, manage and execute public relations events and marketing activities. This could include but is not limited to:
Responsibility for public relations events:

Organization and oversight of philanthropic activities and fundraising events
-
Business to Business Marketing to promote and encourage referral relationships
-
Interaction and networking with other businesses to promote PR activities
Responsibility for marketing activities:
-
Responsibility for conducting spinal screenings and health care classes (training provided)
-
Organization and execution of health fair(s)
-
Organization and oversight of other marketing events
-
Organization and oversight of direct mail initiatives
-
Management of Kelly Chiropractic’s social media contacts (Facebook, Twitter, etc.)
General staff responsibilities:

Attendance at staff meetings
-
Attendance at strategic planning sessions
-
Attendance at Continuing Education seminars
-
Other duties as assigned
Special skills required/desired:

Possess the knowledge and skills required to work successfully in a fast paced office.

Be able to digest new information quickly and apply it productively.
- Be consistent and dependable in work habits.
- Possess and utilize good communication skills.
- Comfortably interact with strangers
- Implement systems designed to generate new patients.
A basic knowledge of computing including the Microsoft Office Suite is essential. Kelly Chiropractic uses a wide assortment of computer equipment and software for varied activities. Experience with community building/outreach and knowledge of appointment based and/or healthcare related software is a plus. The Practice Representative will be required to keep written records of all of their activities and report on them at the weekly staff meeting.
